COMING SOON BILLING MODULE · PART OF THE einTIME TIMESHEET LIFECYCLE PLATFORM

Staffing billing that invoices every approved hour.

The einTime Billing module automates invoice reconciliation for staffing firms — transforming VMS-approved hours into accurate client invoices at the contracted bill rate: each bill rate verified, every pending and missing timesheet valued as unbilled revenue, and every invoice reconciled with the accounting system before it goes out.

Approved hours become invoices.  Pending hours become follow-ups.  Neither becomes a write-off.
WHERE STAFFING BILLING LOSES REVENUE

Hours worked are not
hours you can bill.

A contractor's hours are worked, and the cost committed, the moment the week closes. They can be invoiced only after the client's manager approves the timesheet in the VMS, and some timesheets are never entered at all. Every hour in that gap is revenue earned but not yet billable, and in most staffing firms nobody can say what it is worth until month end.

MANUAL BILLING

Unbilled hours go unmeasured

  • ✗Pending approvals sit in MSP inboxes and spreadsheets — unbilled revenue can't be valued
  • ✗Missing bill rates surface after invoicing — the invoice is rejected and payment never arrives
  • ✗Correction timesheets get billed three times — the original, the reversal and the correction all reach one invoice
  • ✗Bill-rate changes go unnoticed, eroding the contracted markup until the client disputes the invoice
AUTOMATED BILLING

Unbilled hours get a dollar value

  • ✓Approved and pending hours are separated automatically — only approved hours reach the invoice file
  • ✓Pending and missing timesheets become a priced chase list by client, owned by the client service team
  • ✓Zero-hour lines, zero rates and offsetting adjustments are netted or queued before invoicing
  • ✓Bill-rate changes are compared with the last cycle and the HRMS contract rate and held for approval
Hours workedevery submitted, pending and missing hour
Hours invoicedonly manager-approved hours can be billed

THAT DIFFERENCE IS UNBILLED REVENUE — VALUED, ASSIGNED TO A CLIENT AND CHASED UNTIL BILLED

HOW AUTOMATED STAFFING BILLING WORKS

Five steps from approved hours
to a reconciled client invoice.

Most billing teams rebuild the invoice cycle by hand every period: download each portal, sort approved from pending, check rates, build the invoice file, then reconcile it with the ERP. As staffing billing software, einTime runs that timesheet-to-invoice cycle as five guided steps and surfaces only the lines that need a billing specialist.

STEP 01 · TIMECARD OVERVIEW

Collect every client's timesheets into one billing file

Timesheets are downloaded on the billing cycle from every VMS and client portal — SAP Fieldglass, Beeline, Magnit and the rest — and consolidated into one master sheet carrying hours and bill rates for regular, overtime and double-time. Crawls that fail on a login or a portal change are flagged at once; portals that can't be crawled are uploaded manually into the same file. Everything is organized by client and week ending, the shape of the invoice itself.

STEP 02 · BILLING CENTER

Separate approved hours from pending and missing

The Billing Center splits each cycle in two. Approved timesheets flow to invoicing. Everything else enters the Pending & Missing Queue — timesheets awaiting manager approval and timesheets never submitted — each valued as unbilled hours and unbilled revenue against the client that owes it. The queue is a working list for the team chasing MSPs and client managers, not a static report.

STEP 03 · BILLING VALIDATIONS

Validate every billable line before invoicing

Billing validations protect the invoice: does every billable hour carry a bill rate, has the rate changed since the last cycle, is the timesheet a duplicate or a correction, and should this client or worker be invoiced at all? Errors block the run; warnings queue for specialist review — before the client's AP team or the MSP finds the problem and rejects the invoice.

STEP 04 · AUDIT & REVIEW

Audit bill rates against the contract

Before release, the billing audit reviews billing details and hours, client metrics, adjustments and a bill-rate variance view comparing each worker's current rate with the previous cycle — and with the rate agreed in the HRMS at the start of the assignment. A worker contracted at $100 whose VMS profile shows $98 is a margin leak that surfaces here. Every variance is confirmed or corrected before sign-off.

STEP 05 · RECONCILE & SIGN-OFF

Reconcile with the accounting system and sign off

einTime generates the invoice upload file for the accounting system — Dynamics 365, NetSuite, QuickBooks or Sage Intacct — which prices each client and worker from hours and bill rates and returns its own output. That output is uploaded back or synced directly, and hours and amounts are compared line by line. Any variance is investigated before release; when both sides agree, the run shows balanced and a named approver signs off.

Staffing billing software for
every step of the invoice cycle.

Billing may invoice only what a client's manager has approved, so the real work is chasing approvals, catching bill-rate errors and proving every hour reached an invoice. Each of those steps runs on a schedule, a rule or a trigger, so the billing team reviews exceptions instead of spreadsheets.

BUILT FOR THE INVOICE: RATES, DUPLICATES, CLIENT AND WORKER MASTERS — THE ERRORS THAT GET INVOICES REJECTED

EMPLOYEES AND SUBCONTRACTORS ON ONE INVOICE

One client invoice,
every worker type.

The VMS does not distinguish employees from subcontractors — the client approves hours and expects one invoice. Subcontractor hours are the easiest to miss: they sit outside the firm's own employee records and surface as unmatched at invoice time. einTime maps every worker to a billing file number, so W2 and C2C hours reach the same invoice at the right rate type.

  • ✓Regular, overtime and double-time hours billed at the contracted multiplier for each client
  • ✓Invoiced with a standard rate type against the client's contracted bill rate

  • ✓Billed on the same client invoice as employees, at the contracted bill rate
  • ✓Mapped to a billing file number so subcontractor hours are never left off an invoice
  • ✓Rate types must carry the C2C convention, enforced by validation before invoicing

AND WHAT IT CHANGES

Billing stops being a
month-end reconciliation exercise.

Revenue recognition holdsOnly client-approved hours reach an invoice — enforced by the system rather than by manual filtering across portal exports.
Unbilled revenue becomes a working numberPending and missing timesheets are valued per client mid-cycle, so the exposure is visible and chased — not discovered at year end.
Rate errors caught before invoicingMissing, zero and changed bill rates are held for review before the invoice goes out, instead of surfacing as short payments.
Fewer rejected invoices and disputesInvoices match approved VMS hours and contracted bill rates — the two most common reasons clients reject or dispute them.
Cash arrives soonerInvoices released on time and right the first time shorten the approval-to-payment cycle and bring DSO down.
A real number for the unbilled accrualAt period end, pending and missing hours are already valued by client, so the unbilled revenue accrual comes from data rather than an estimate.

FREQUENTLY ASKED QUESTIONS

Staffing billing and invoice reconciliation, explained.

Answers to the questions billing, AR and finance teams ask most when evaluating alternatives to spreadsheet-based invoicing.

What is staffing billing software?
Staffing billing software automates the timesheet-to-invoice process: it converts approved timesheet hours into client invoices, applying the correct bill rate, overtime rules, markups and client-specific terms. For firms billing through VMS and MSP programs, it also has to separate approved hours from pending hours, catch bill-rate discrepancies and reconcile invoice totals with the accounting system before invoices are released.
How does billing automation reduce invoice errors and rejected invoices?
Most invoice errors in staffing come from missing or outdated bill rates, unapproved hours, duplicate or correction timesheets and workers who should not be invoiced. einTime checks every billable line against eight invoice validations before the invoice file is generated, audits each bill rate against the last cycle and the contract rate, and reconciles hours and amounts with the accounting system. Invoices go out accurate the first time, so rejected invoices and billing disputes fall and DSO comes down.
Why can't every hour worked be invoiced right away?
A client invoice may include only hours the client's manager has approved in the VMS. Hours that are worked but still pending approval, or never entered as a timesheet, can't be billed yet, even though the cost of the worker is already committed. einTime tracks them in the Pending & Missing Queue as unbilled hours and unbilled revenue per client, and re-checks the VMS weekly until they are approved and invoiced.
How does staffing billing work with an MSP?
In an MSP program, the managed service provider runs the VMS, collects timesheet approvals from client managers and often submits invoices to the client on the supplier's behalf, remitting payment net of an MSP fee and sometimes a VMS fee. The billing team still has to confirm that approved hours and bill rates in the VMS match its own records before the cycle closes. einTime collects timesheets from MSP and non-MSP accounts alike and applies the same approval, rate and duplicate checks to both.
What is VMS billing reconciliation?
VMS billing reconciliation confirms that the hours, bill rates and approval status recorded in a client's VMS — such as SAP Fieldglass, Beeline or Magnit — agree with the staffing firm's own records before the invoice is sent. Mismatched hours or rates are the most common cause of rejected invoices and billing disputes, which delay payment and extend DSO.
How are bill rate errors caught before invoicing?
Every billable line must carry a bill rate for regular, overtime and double-time hours; missing or zero rates block the line. The billing audit then compares each worker's bill rate with the previous cycle and with the rate agreed in the HRMS at the start of the assignment, so a $100 contract rate recorded as $98 in the VMS is flagged and corrected before the invoice goes out.
How are correction timesheets and duplicates handled?
Exact duplicate timesheets are collapsed to one record. Correction pairs — for example a 40-hour timesheet reversed by a −40 entry and replaced by a corrected 38 — are netted so that only the corrected hours reach the invoice, instead of all three entries.
Which accounting systems does billing reconcile with?
einTime generates the invoice upload file for Microsoft Dynamics 365, NetSuite, QuickBooks or Sage Intacct. The accounting system prices each line from hours and bill rates; its output is uploaded back or synced directly, and hours and amounts are compared line by line. The run is released only when both sides balance and a named approver signs off.
Do we need to share billing data to see a demo?
No. The 30-minute demo walks through a full billing cycle on sample data, configured around the VMS portals, MSP programs and accounting system in use at your firm. No system access or live billing data is required.
